Privacy Policy
1. Who we are
This policy is published by Centralized Pool Service & Supply LLC("CPSS," "we," "us"), located at 345 McGill St, Sunbury, OH 43074. CPSS operates the website at centralizedpoolserviceandsupply.comand provides software portals to its independent pool service partners and to the partners' customers. 2. What we collect
We collect only what we need to deliver pool equipment, warranty support, and service coordination:
- Account information: name, email address, phone number, and the partner you are associated with.
- Property and equipment data: service addresses, pool details, installed equipment, warranties, and service history.
- Communications: messages you send through our portal, service requests, and replies to our notifications.
- SMS consent records: whether you opted in to receive text messages, the timestamp of that opt-in, and any subsequent revocation.
- Technical data: IP address, browser type, device information, and session activity needed to operate and secure the service.
We do not knowingly collect information from children under 13.
3. How we use it
- To operate your customer or partner portal.
- To coordinate service visits, warranty claims, and equipment orders between you and your partner.
- To send transactional notifications (service reminders, status updates, account alerts) by email and, when you have opted in, by SMS.
- To respond to support and contact requests.
- To protect the service against fraud, abuse, and outages.
- To comply with legal obligations.
We do not sell your personal information, and we do not use it for cross-context behavioral advertising.
4. SMS messaging and consent
SMS messages are sent only after you have explicitly opted in. You opt in by checking the consent box in your customer portal profile, which begins with "Yes, send me CPSS service-visit reminders and appointment updates by text from my pool service partner" and discloses message frequency, rates, and HELP/STOP keywords. You may also opt in by authorizing your partner to enable SMS on your behalf when they create your account; the partner must record explicit verbal or written authorization with a timestamp.
We send transactional messages only: service-visit and appointment reminders, status updates on open service requests, and warranty notifications. We do not send SMS marketing or promotional content. Message frequency varies by your service schedule (typically 1 to 4 messages per month). Message and data rates may apply.
You can revoke consent at any time by unchecking the box in your profile or by replying STOP to any message. Replying HELP returns support contact information.
Mobile information, including phone numbers and SMS consent status, is not shared with third parties or affiliates for marketing or promotional purposes. We share phone numbers only with our SMS delivery vendor (Twilio) for the sole purpose of transmitting the messages you have consented to receive.

5. Who we share it with
We share data only as needed to run the service:
- Your partner.Pool service partners see the customer, property, equipment, and service-history records associated with their accounts so they can serve you. Partners cannot see data belonging to other partners' customers.
- Vendors that operate the platform on our behalf: Clerk (authentication), Twilio (SMS), Resend (transactional email), Mailchimp (newsletters, where you have opted in), Cloudflare R2 (file storage), Google Maps (address lookup), Neon and Vercel (database and hosting), Sentry (error monitoring), and Upstash (rate limiting). Each processes data under written agreements.
- Legal and safety. When required by law, court order, or to protect rights, safety, or the integrity of the service.
- Business transfers. If CPSS is acquired or merges, data may transfer to the successor, subject to this policy.
6. Data retention
We retain account, property, equipment, and service-history records for as long as your account is active and as needed for warranty support and legal compliance. SMS consent records are retained for at least four years after revocation, as required by federal telecommunications regulations. You may request deletion of your account by emailing us at the address above. Records required for warranty, tax, or legal purposes may be retained for the applicable retention period.
7. Your choices
- Access and correction. You can view and edit most of your account information from your portal profile.
- Email preferences. Every newsletter includes an unsubscribe link. Transactional emails about your account cannot be unsubscribed from while your account is active.
- SMS opt-out. Reply STOP to any text message, or untick the consent box in your profile.
- State privacy rights. Depending on your state, you may have rights to access, delete, or correct your personal information, or to opt out of certain processing. Email us to exercise these rights.
8. Security
We use encryption in transit, role-based access controls, tenant-isolated data access, and audit logging. No system is perfectly secure. If you believe your account has been compromised, contact us immediately.
9. Changes
We may update this policy from time to time. Material changes will be announced in-app or by email. The effective date at the top of this page tells you when the current version took effect.
